Email Filtering in Outlook

To setup mail filtering in Outlook 97 you will use the "Inbox Assistant". All other versions of Outlook use the "Rules Wizard".

These filters can be very broad or very specific so that they may be tailored to your needs. If used in conjunction with our Email Management Utility, mail filtering can greatly reduce the amount of junk mail you will see.

Outlook 97

  • Click on the Tools menu and select "Inbox Assistant"
  • Click "Add Rule"
  • Type the criteria for which you wish to filter in the "Subject" field
  • Next click the checkbox next to the action you want the filter to perform.
    • Alert with....
    • Delete
    • Move to... (folder)
    • Copy to... (folder, original stays in Inbox)
    • Forward...
  • When finished click OK

Outlook 2000/2002

  • Click on the Tools Menu
  • Click on Rules Wizard
  • Click on New
  • Select "Check messages when they arrive"
  • Click Next
  • Select the Conditions for your rule:
  • Check With specific words in the Subject
  • Click the underlined words "contains specific words"
  • You will now be prompted to add the words you want the message rule to look for
  • Click Next
  • Select the Actions for your rule:
  • Check Delete it
  • Click Next
  • The next screen lets you configure and exceptions to this rule
  • Click Next
  • Click the box that says "Turn on this rule"
  • Click finish
NOTE: There are many variables you can choose here this is one such example. You may need more than one variable to filter emails.
